On 4/27/06 a vote was held of the active Club members regarding seven proposed changes to the Bylaws concerning the Secretary's and Treasurer's job descriptions.
Proposition 1
Our Bylaws stated that the Secretary was responsible for the following:
IV. Officers:
H. The Club Secretary/Chapter Secretary is responsible to notify the Chapter President when circumstances beyond his control preclude him from attending a meeting. Specific Expectations:
I, Randy Rowley, proposed to modify #2 to the following (additions in yellow):
2. Responsible to record the minutes of all of his chapters meetings (that he attends) and to write a report on all of his chapters events (that he attends). Responsible to submit his chapters meeting minutes and event reports to the Club President and his chapters President within seven days of the event.
Proposition 2
I proposed to add the following to the Secretary’s job description:
3. Responsible to print, photocopy, and mail quarterly newsletters.
Proposition 3
I proposed to add the following to the Secretary’s job description:
4. Responsible to mail Club membership benefits to new and renewing members.
Proposition 4
I proposed to add the following to the Secretary’s job description:
5. Responsible to print or e-mail sign up sheets for events, Dove Retreat logs, and other documents at the request of the president.
Proposition 5
Our Bylaws stated that the Treasurer was responsible for the following:
IV. Officers:
G. The Club Treasurer is responsible to notify the Club President when circumstances beyond his control preclude him from attending a Club meeting or a meeting of the Club chapter that he usually attends. Specific Expectations:
I proposed that we add the following to the Club Treasurer’s job description:
6. Responsible to remind active members that their memberships are about to expire and encourage them to renew their memberships.
Proposition 6
I proposed that we re-number #'s 4 and 5 as #'s 1 and 2 (and re-number the rest).
This would make the order of duties consistent with the Chapter Vice President and Club Secretary/Chapter Secretary.
Proposition 7
I proposed that we change the present #3 (which will become #5 if Proposition 6 passes) from:
Responsible to promptly balance the FCS check register on a quarterly basis with the bank statement. Responsible to distribute a report of this reconciliation to the President.
To:
Responsible to promptly balance the FCS check register on a monthly basis with the bank statement. Responsible to submit a report of this reconciliation to the President.
The reason that I wanted to go from a quarterly reconciliation to a monthly is it will be easier to fix a problem that we discover from last month (for example) verses one that we found from three months ago (for example). In practice we have been doing a monthly reconciliation since I have been President (5+ years).
All seven propositions passed by votes of 5 to 0.
